Sometimes when you finish sourcing for one project, there are still candidates in your talent pool who are qualified for the role but are either unavailable at the moment or do not respond to your engagement messages. In this case, don’t just leave them behind! In fact, with hireEZ’s candidate management functionalities, you are able to keep nurturing your talent pipeline and rediscover passive candidates in the future. In this article, we offer you some tips to build nurturing habits into your workflow.
Pro Tips:
Come Back to Your Talent Pool in Weeks/Months
One thing you can do is to come back to your talent pool after a certain period of time. The reason behind this is simple: people may change their minds in weeks or months and getting in touch with these candidates in time may turn them into active candidates.
When you are screening through the candidates in your talent pool, you can use the All Filters-Activities menu on the left to find out candidates who have not been Contacted/Viewed by your team in the last 1/7/30/90/180/360 days so that you would not email the candidate too frequently.
If you have targeted candidates in mind during your recruitment process, you can also add a Reminder to the candidate’s hireEZ profile.

Located under the candidate’s profile, the Reminders section allows you to make notes for yourself.

You may choose from the time settings above or pick a date & time by clicking on the calendar button on the left. Check the scheduled time before you click on Save Reminder.
When you finish, the Reminder will appear both in the candidate’s profile and in the upper right corner of your dashboard.
If you have a group of candidates to mark, you can add Tags to them and review them by searching for certain tags under the All Filter menu.
Last but not least, you may also check out candidates with High Availability using the checkbox in the All Filters-Profile details menu.
The High Availability indicates how likely the candidate is open to new opportunities. If you check the box here, only candidates with an Availability of over 80% will appear in the list.

Engage Candidates Using Different Channels
Moreover, you can reach out to your candidates through different channels.
In their hireEZ profiles, you are able to find additional contact information, including phone numbers and social connections. While most of the candidates are contacted via personal emails, there may be candidates who prefer phone screening or social networks.

Sometimes social media platforms could be more helpful than emails. On the one hand, people are spending more and more time online and it might be easier for you to talk to them in person via Facebook and Twitter. On the other hand, for candidates in specialized fields, such as Tech and Healthcare talents, reaching out to them through specific platforms (e.g. GitHub or Healthgrades) could make you look more professional. Therefore, when contacting your passive candidates, look through their full contact details and try multiple channels.
Export the Candidate Profiles to Your Recruiting Team
If the sourcing and recruiting teams conduct different workflows in your organizations, export candidates to your ATS/CRM or download them as CSV/PDF files. You may also export the profiles if you are not able to integrate your work email or ATS/CRM with hireEZ.
To Export/Download, click on the three-dot button on top of the candidate’s profile.

You can also bulk Export/Download candidates from the taskbar above your talent list:
When you click on Download, a new window will pop up and ask you to choose a Customized Template. You may Create a New Template if you are the admin of the team, or contact your team admin if you need one.

You can always communicate with your teammates and adjust the template to fit your workflow.

By syncing/exporting your candidates’ profiles, make sure that the candidates’ data are stored and are moving forward to the next stage of your pipeline even when you or your colleagues are not able to gain full access to hireEZ.
Add Candidates to a hireEZ Nurturing Project
You may also take advantage of the hireEZ Chrome Extension and sync potential candidates from other platforms to your hireEZ project.
For instance, when you are screening on GitHub and find a candidate who does not fit into your existing positions but may be interested in your future roles, open your Chrome Extension and click on Add to project to sync the candidate to your hireEZ or ATS project.

You can create a “Nurturing Candidates” project in hireEZ and select it from the drop-down list here, or you can Create a new project from the page.

After you select the Project and Stage, the candidate will be added to your project pipeline. From there you will be able to manage the candidates, either to Bulk Add Tags/Notes or Add candidates to future projects. You can also click on the candidate's email address or the email button on their profile card to engage with the candidates or click into the candidate’s profile to add Reminder or Files.
