Email templates are messages that have already been created for your use and comfort. Instead of writing an email from scratch every time, you can just use a template and modify the candidates’ individual information. You can find the list of your saved templates in the email composing window.

Making email templates part of your hireEZ workflow means that you can personalize your content without having to worry about repetitive work. hireEZ allows you to:
Create a New Email Template
To create an email template, please go to Messages -> Templates or click here.
Then, click Create Template button on the upper right.

On the next page, you can create and edit the email template and save it for future use.

Pro steps:

Name: Name the template for your own record.

Subject: This is the subject line candidates see when emailing them using this template. If you want to add a variable to your Subject, insert the variable to the content text bar and then copy and paste it to the Subject section.

Variables (indicated in the picture above via red box): To create personalized and effective email templates, click on the variables button to insert variables into the body of your email template. In your email, the variable {{%firstname%}} will automatically insert the information of the candidate(s) that you contact.

Continue to edit the content and formatting of your email template until satisfied.

To save the template click on Save at the bottom right.
Note: you will NOT be able to save a new template without a Name and Subject Line.
After clicking “Save," a window will pop up providing you with an option of sharing the template with your team or sharing it with individuals on your team. You can also choose to keep it private. Click Done to save the setting for this template.

Customize Your Templates Based on a Saved/Shared Template
hireEZ has 10 preloaded email templates for you. If you don't know how to create an email template, we recommend starting with one of hireEZ’s preloaded templates.
To start, please go through these 10 email templates and choose the one you'd like to use. Click the three dots on the right of that hireEZ template, then select View/Edit to edit (or view).

If you are not the template owner and would like to modify and use the template shared by your team members, you can use the three dots menu to Make a Copy and then edit and save the copy as your own.
Pro steps:

Name: Change the name of the template for what best suits your needs.

Subject: Edit the Subject Line to better represent the position(s) you are recruiting for.

Remember to always edit the highlighted areas with what is relevant to you and your organizations. For example, you should replace [company name] with the name of the company you are recruiting for. Unlike inserted variables, this information should be edited manually and will NOT change automatically when sending to multiple.

It is highly recommended that you personalize hireEZ's email templates to be in line with your hiring needs.

When satisfied, click on the Save button at the bottom right to save the template.
Insert a Template to Your Email/Sequence
You can locate all your Templates, both preloaded/shared ones and the ones you created, from the button below the Subject line. And you can Save a new template when you have made changes to the existing templates.

You may also insert or save a template in any messages of a sequence.
You can View/Edit your template using the three dots button on the right under the Templates tab, and you can always make changes in the composing window after you have inserted it into your draft email. As mentioned earlier, the highlighted information will not change automatically and has to be edited manually before you send out the email.
Track the Performance of Your Templates and Share the Template with Your Team Members
For Enterprise users, after sending out the templates, you can track the numbers of the delivered emails, and the opened, clicked, and replied rates of the template on the Messages --> Templates page. You can also check the template owner and if it has been shared with others.

If you find a template with high open and replied rates, you can share the template with your team members by clicking Share from the three dots menu. Just like when you create a new template, you will be able to choose whether you want to share it with individual members or with the entire team.

Sharing your templates also allows your team to have an inside view into your engagement workflow that might help them enhance their own or offers them the chance to help you enhance yours with pointers or other useful tips that you may have overlooked.
Tips to Improve the Content of the Template
You should realize that no template is set for good, and it’s convenient for you to make changes anytime. Just like every message, a good communicator is expected to optimize their speeches constantly.
As a recruiter, taking some time to improve your templates is a great way to be interactive and result-driven. If you generate and update templates on a regular basis, your engaging process will not be a burden.
Your templates will be more mature and useful after taking different dimensions into consideration, such as the subject line and the first sentence of engagement.
