We all know that recruiting projects often involve teamwork. In hireEZ, the Email Delegation function allows you to send emails on behalf of your team members.
The Email Delegation feature is located at the bottom of the Profile Settings-->Email settings-->General page.
For Business users, you can locate it on the Product Setting-->Email delegation page.
Once the delegation permission is activated, you will be able to send engagement emails to candidates on behalf of other hireEZ users in your team. You can also authorize your team members to send emails on your behalf.
This SOBO function offers more flexibility in your teamwork. You can choose to send emails from one recruiter to show consistency, or you may send emails on behalf of the Hiring Manager and make your candidates feel valued. In fact, the SOBO feature can be a very sufficient strategy to increase the candidates’ response rate when combing with the high-quality message content. According to our data, the email delegation setting helped increase the candidate response rate by 50%-90%.
When you open the email window to send out the email sequence or single email, you can send the emails on behalf of your team members and request delegation permissions directly when composing your email.
For the email sequences, you may also build up to be sent by different people. For instance, you can send out the first touch and the first Follow-up emails by yourself, while sending the second or third Follow-up message on behalf of the Hiring Manager of the department. What we found is that candidates are much more likely to reply to a TA manager than from the talent acquisition side.
Just to keep in mind, once you switch the sender of one email, the sender of the following emails in this sequence will change accordingly. For example, if you choose to send the third email on behalf of your Hiring Manager, the fourth and emails afterwards will also change automatically. You can still modify the information manually if needed.
The email from a different sender will be sent as New Thread and the As a Reply option will be disabled.
After you send out the email on behalf of others, you will be able to track it from the Outbox under the Message tab.
If your team member grants you permission to send emails and see replies, you may not only track the status of the email but also view the replies of the email under the Outbox of the Message tab and under the candidate's profile in hireEZ.
If your team member sends the email on behalf of you, you will also be able to view the email from your regular email Inbox.
Email delegation can be really helpful for talent acquisition teams to cooperate and to increase the candidate response rate, but you should make sure that team members are familiar with the projects and how email delegation works in hireEZ to prevent misunderstanding or losing contact with candidates.
