Integration Setup (Admin)

Before you begin, please ensure that you are...

A subscriber of hireEZ Enterprise and have a valid hireEZ account (*Please contact your hireEZ Account Manager if you need help setting up an Enterprise license.)
The admin user of your company's hireEZ Enterprise subscription
The site admin of your Greenhouse Harvest account

Note: Please do not connect your test/sandbox instance with the hireEZ production account. If you would like to perform sandbox testing, please reach out to support@hireez.com or the assigned TPM. They can assist you further to issue a separate instance for testing.
In case you end up connecting your sandbox account with the hireEZ production account, notify the support team at the earliest. This brings unknown issues for the integration and results in a delay in your onboarding.

Step 1: Configure hireEZ on Greenhouse Harvest

Go to Greenhouse Configure, which can be accessed here, and follow the steps as pictured in the screenshots below.

Step 2: Configure Greenhouse Harvest on hireEZ

As an admin user, you'll be able to configure your ATS by clicking on the All Integrations tab on the left and following the same instructions below.

If you also have a team member license, you can configure in hireEZ Apps by clicking here, and follow the steps as pictured in the screenshots below.

Step 3: You should see an integration configuration page and a success message on the top right corner of the screen.

Step 4: Under Settings, select to export candidates from hireEZ to Greenhouse as either prospects or candidates linked to specific jobs and hiring stages.

Step 5: Map relevant candidate profile data fields between hireEZ and Greenhouse.

If you want to customize the data field mapping:

Select a hireEZ candidate profile field from the ‘All Fields in hireEZ’ field list and choose a suitable field from the Greenhouse profile fields dropdown.
If you want to attach a resume for each candidate when syncing from hireEZ to Greenhouse, select the ‘Attach hireEZ Resume’
If you want to sync notes and tags from hireEZ to Greenhouse, enable and map hireEZ Note and Tag fields with Greenhouse activity fields.

Step 6: Set your export preferences from hireEZ to Greenhouse Harvest.

Exporting Candidates from hireEZ to Greenhouse

After you've found qualified candidates in hireEZ, you can easily export them into Greenhouse. Go to a project and click Pipeline, select your candidates, and click Export. Then, follow the instructions on the screen to select the candidate application type, job, and stage of your exports.

Once you've successfully exported the candidates, you can click the Greenhouse icon on the candidate's hireEZ profile to redirect to his or her Greenhouse profile, which has been enriched with new information from hireEZ. Additionally, in Greenhouse, you'll even be able to see the hireEZ resume and source of the candidate.

The beauty of EZ Rediscovery also lies in its deduplication and enrichment functionalities. When exporting candidates, duplicates can easily be merged on the Pushed to ATS page. You can select which information you want from which profiles. Oftentimes, you'll find new contact information that can be exported over to the candidate's ATS profile.

Rediscovering Candidates from Greenhouse with hireEZ

To enable EZ Rediscovery with Greenhouse Harvest and allow the pull of candidates from Greenhouse Harvest into hireEZ, go to the Admin Console > General > ATS > Details > Import > Enable, and fill in credentials. If you've already connected through Apps, you won't need to fill in the credentials again under Rediscovery in the Admin Console.

*Note: Please contact hireEZ Customer Support to enable the two-way integration for EZ Rediscovery.

Once enabled, you will be able to source candidates from both the open web and your ATS.

On the main hireEZ AI Sourcing page, from the Rediscovery tab, you'll be able to source candidates from both the open web and your ATS, or just your ATS. Use filters like ATS Jobs or ATS Stage for more targeted searches.

We'll show you which hireEZ or Greenhouse projects the candidate is part of.

Since candidate engagement is synchronized in both platforms, you'll be able to use smart filters like Not Contacted or Viewed by Team.

Analyzing Integration Performance (Admin)

As the hireEZ admin user, you'll have access to eye-opening statistics into your hireEZ-ATS integration. Go to the Dashboard under the Admin Console > Rediscovery to see rediscovery metrics, diversity breakdown of your ATS candidates, top companies of your ATS candidates, and more! You may click on any part of the charts to view candidates under the category.
