During regular email engagement with candidates, at some point we have all met the situation where we've received automated messages such as "email address not found". It is frustrating to have emails bounce.
This article will show what happens and what you can do in hireEZ when an email to a candidate bounces.
Why emails bounce
There are two kinds of bounces: hard bounces and soft bounces.
Speaking of the hard bounces, they are emails that cannot be delivered permanently because the recipient's email is no longer in use. This bouncing reason is so familiar to us that it is easy to ignore the second case.
The soft bounces might be because the recipient's inbox is full or due to the candidate's email server setting, instead of the invalid email addresses.
What happens when an email bounces
When the candidate has an alternative email address
If the candidate has several email addresses in their hireEZ profile, the system will automatically send the email to the next available email address.
*Note: If another email address is a working email domain, the system may fail to send it out. You will need to manually resend the email.
When the candidate's email address couldn't be found
If the email address you send out is invalid or no longer exists, hireEZ will return the corresponding contact credit back to your account. Meanwhile, the email address will also be removed from the candidate profile.
What you can do when the email bounces
- Contact via LinkedIn Message, phone number, or other External Links on hireEZ profile
You can go to Message -> Outbox -> Recipients to filter down to all the bounced candidates, and determine who you can reach out to via alternative engagement channels.
Meanwhile, you will also have a notification regarding the bounced email address in the email thread as well, to provide an additional layer of visibility into the status of the outreach for that particular candidate.
Opening the candidate's profile, you can try to call to the candidate if there is an available phone number. Furthermore, you can also check the candidate's social links like LinkedIn, GitHub or Google. By clicking the icon, you can open the page to connect with the candidate.
For any candidate's contact information that is incorrect, you can report it from the "Report issue" button. The team will receive the feedback and update the profile accordingly.
